Create One-Time Series

  1. Go to the PureSafety tab > Assignments.
  2. Click Create.
  3. Provide the information below, as needed. For more information about these options, see the Review Training Assignment Options topic.
    • Title. This field is required.
    • In the Assignment Type field, select One-Time Series.
    • Type the start date. This field is required. Click the drop-down arrow next to the month and year to see a list of months and years you can choose from.

    • Check boxes:
      1. Assign to New Entrants. Check this box if the system should automatically assign this training to any employees added to the organization unit or group after the assignment is created.

        • Select the Based on assignment start date radio button to use the date in the Start Date field regardless of the date the employee gets assigned the assignment.

          For example, if the assignment start date is January 1, 2015 and a trainee is added to the assignment on February 1, 2015, the assignment start date for that trainee is January 1, 2015.

        • Select the Based on date the trainee is added to assignment radio button to use the date when the employee actually gets this assignment (usually the date the employee is added to the organization unit or group) rather than the date in the Start Date field.

          For example, if the assignment start date is January 1, 2015 and a trainee is added to the assignment on February 1, 2015, the assignment start date for that trainee is February 1, 2015.

        You can choose to exclude existing organization unit or group members from receiving the assignment by selecting the Exclude Existing Members check box in the People section of the assignment. Using this option ensures that the training assignment is not given to existing members of the organization unit or group and is only given to new trainees from that point forward. The default is unchecked.

      2. Present diploma upon completion. Check this box if the system should present a diploma to trainees when they complete the assignment. Some assignments may not offer a diploma.

      3. Notify People upon start. Check this box if the system should send notifications to trainees on the day their assignment starts. This check box is available only if you have enabled the Receive Notifications client setting.

      4. Notify People upon completion. Select this option if the system should send notifications to trainees when they complete the assignment.

      5. Notify People when overdue. Select this option if the system should send notifications to trainees when the assignment is overdue.

      6. Notify People upon deletion. Select this option if the system should send notifications to trainees when their assignment has been deleted or when training is removed from an assignment.

      7. Notify People upon removal. Select this option if the system should send notifications to trainees when they have been removed from their assignment.

      8. Notify People upon update. Check this box if the system should send notifications to trainees when an assignment's start and end dates are edited.

      9. Overdue Notification once in two weeks. Select this option if the system should send notifications to trainees on the 15th and on the last day of every month while their assignment is overdue. This is not based on the date that the assignment became overdue. For example, if a trainee becomes overdue on the 13th, then the trainee receives an overdue notification on the 15th.
        Note: Selecting this option also sends an overdue notification to all trainees that are overdue on the next 15th or 30th. For example, if you select this option on the 20th, then all trainees who are overdue receive an overdue notification on the 30th.
    • Training section. Search, select, and add desired training. See the Create Training Assignments topic for information about how you can select records in the Training section.

      Once training is added, set delay and duration. The fields are described below.

      • The Delay field determines when training will begin. If you set the delay to zero, the training begins immediately. Delay training by a certain number of days, weeks, etc., by entering a number in the Delay field and selecting the period in the next field (days, weeks, months, quarters, years).
      • The Duration field determines how long the training will last. Set it to a certain number of days, weeks, etc., by entering a number in the Duration field and selecting the period in the next field (days, weeks, months, quarters, years).
    • People section. Add or remove employees, organization units, or groups from the assignment. See the Create Training Assignments topic for information about how you can select records in the People section.
  5. Click Create to create the assignment.
Note: One Time Series Assignments with the "Assign to new entrants" checked and "Based on the date the trainee is added to the assignment" will remain active until the administrator unchecks the Assign to new entrants box. An administrator can stop the assignment from continuing to be assigned by unchecking the "Assign to new entrants" box.
Note: Trainees who pass the course and are assigned a new occurence of the course will receive the course. Trainees who fail the course and are reassigned a new occurrence of the course will not receive the course.
