Review All Training Assignments Options

The options that are available when you create and configure training assignments are listed below.

You can create five types of training assignments in PureSafety. The assignment types are listed below.

  • One-Time Assignments. These assignments occur only one time.
  • Recurring Assignments. These assignments recur at user-defined intervals.
  • One-Time Series. These assignments stagger a block of training units.
  • Recurring Series. These assignments recur at user-defined intervals in a staggered block of training tasks.
  • Certifications. Certifications are used to track assignments that expire and must be retaken in order to remain certified.

The table below indicates whether the option applies to all assignment types or only specific assignment types.

Start Date field

Required. Type the date when the assignment should start.

Type a date manually or click the Calendar icon to select a date. Click the drop-down arrow next to the month and year to see a list of months and years you can choose from.

End Date field

One Time Assignment

Type the date by which trainees should complete this assignment.

Recurring Assignment

Specify how long an employee has to complete a certain assignment, for example, 10 days, 2 weeks, 1 month, 1 quarter, or 1 year.

Specify how often you want the assignment to recur and how many times it should recur, for example, every 6 months and only twice (for 2 recurrences).

Select this radio button if the assignment recurrences should be based on the date the assignment begins.

Recur based on completed date radio button

Select this radio button if the assignment recurrences should be based on the date a trainee completes the previous recurrence.

Certification

Specify how long the trainee has to complete the training.

This certification will expire after radio buttons

Certification

Specify when the certification will expire. Recurrences are calculated based on when an assignment is completed and when the certification will expire.

Assign to new entrants check box

All

Check this check box if the system should automatically assign this training to any employees added to the organization unit or group after the assignment is created.

Note: Trainees that are added to a unit or group after the assignment due date has passed do not inherit this assignment.

You can also choose to exclude existing organization unit or group members from receiving the assignment by selecting the Exclude Existing Members check box in the People section of the assignment. This option ensures that the training assignment is not given to existing members of the organization unit or group. The option ensures that only new trainees are assigned the assignment from that point forward. This option is disabled by default.

Based on assignment start date radio button

One Time Assignment

One Time Series

This option is available only if you have selected the Assign to new entrants check box. You must select either this option or the Based on date the trainee is added to assignment radio button if you select the Assign to new entrants check box.

Once you decide to automatically assign this training assignment to employees later added to the organization unit or group in the assignment and you select the Assign to new entrants check box, you have the option to specify which date should be used as the assignment start date for these employees who get the assignment at a later time.

Select the Based on assignment start date radio button to use the date in the Start Date field regardless of the date when the employee gets this assignment. Important note: Using this option will have the following impact on your reports:

  • Reports will display the date the trainee was added to the assignment as the assignment start date. This means there might be discrepancies between the start dates of employees in the same assignment if some of them were added to the assignment at a later time.
  • If you run a report on assignments based on the assignment start date and the date range used does not include the dates when new entrants were added to an assignment, these trainees will not be included in the report.

Consider this scenario:

  1. You create a one-time assignment for Organization Unit A and configure the assignment as follows:
    • It has a start date of January 1 and does not have an end date.
    • You want to make sure that new trainees added to this organization unit also get this assignment, so you select the Assign to new entrants check box.
  2. On March 1, you add John Smith to Organization Unit A. As a result, John Smith gets this assignment.

Select the Based on assignment start date radio button if you want John’s assignment to start on January 1 even if he is not added to the assignment until March 1.

  • Based on date the trainee is added to assignment. Select this radio button if you want John’s assignment to start on the day you add him to the assignment, so on March 1 in our example.

One Time Assignment

One Time Series

This option is available only if you have selected the Assign to new entrants check box. You must select either this option or the Based on date the trainee is added to assignment radio button if you select the Assign to new entrants check box.

Once you decide to automatically assign this training assignment to employees later added to the organization unit or group in the assignment and you select the Assign to new entrants check box, you have the option to specify which date should be used as the assignment start date for these employees who get the assignment at a later time.

Select the Based on date the trainee is added to assignment radio button to use the date when the employee actually gets this assignment rather than the date in the Start Date field.

Consider the scenario below.

  1. You create a one-time assignment for Organization Unit A and configure the assignment as follows:
    • It has a start date of January 1 and does not have an end date.
    • You want to make sure that new trainees added to this organization unit also get this assignment, so you select the Assign to new entrants check box.
  2. On March 1, you add John Smith to Organization Unit A. As a result, John Smith gets this assignment.

Select the Based on date the trainee is added to assignment radio button if you want John’s assignment to start on the day you add him to the assignment, so on March 1 in our example.

Present diploma upon completion check box

All

Check this box if the system should present a diploma to trainees when they complete the assignment. Some assignments may not offer a diploma.

Notify People upon start check box

All

Check this box if the system should send notifications to trainees on the day their assignment starts.

This check box is available only if PureSafety Customer Support has enabled the Receive Notifications client setting for your organization.

Notify People upon completion check box

All

Check this box if the system should send notifications to trainees when they complete the assignment.

Overdue Notification every two weeks check box

All

Check this box if the system should send notifications to trainees every two weeks while their assignment is overdue. In this case, trainees get notified on 15th and on the last day of each month while their assignment is overdue. Supervisors can run reports on who is overdue on their assignments to find out who is getting these notifications.

Notify People when overdue check box

All

Check this box if the system should send notifications to trainees every two weeks while their assignment is overdue. In this case, trainees get notified on 15th and on the last day of each month while their assignment is overdue. Supervisors can run reports on who is overdue on their assignments to find out who is getting these notifications.

Notify People upon deletion check box

All

Check this box if the system should send notifications to trainees when the assignment is overdue.

Notify People upon removal check box

All

Check this box if the system should send notifications to trainees when they have been removed from their assignment.

Notify People upon update check box

All

Check this box if the system should send notifications to trainees when an assignment's start and end dates are edited.

Training section

All

Required. Search, select, and add desired training.

People section

All

Add or remove employees, organization units, or groups from the assignment.
